This Privacy Policy explains how we collect, use, store, and share personal information when you use the Microchip My Pet website, register a microchip, update keeper details, or contact us.

3. What Information We Collect

3.1 Keeper Information

When a microchip is registered or updated, we may collect:

  • Full name
  • Postal address
  • Telephone number
  • Email address

3.2 Animal Information

  • Species (dog or cat)
  • Animal name
  • Breed (optional)
  • Date of birth (optional)
  • Microchip number

3.3 Professional / Implanter Information

Where applicable:

  • Name and business details
  • Professional role or authorisation status
  • Contact details

3.4 Website and Technical Information

When you visit our website, we may collect limited technical data such as:

  • IP address (in server and lookup logs)
  • Browser type and device information sent with your request

If you sign in, we also store a session cookie. We do not currently use analytics tools.

4. How We Use Your Information

We process personal data for the following purposes:

  • Maintaining accurate microchip records
  • Enabling keepers to update their details free of charge
  • Supporting lawful identification of animals
  • Providing access to authorised enforcement and welfare bodies
  • Responding to enquiries and support requests
  • Meeting legal and regulatory obligations
  • Improving website functionality and user experience

We do not sell personal data.

5. Legal Basis for Processing

We process personal data under one or more of the following legal bases:

  • Legal obligation – to comply with UK microchipping regulations and enforcement requests
  • Legitimate interests – maintaining an accurate and functional database
  • Consent – optional marketing emails, where you have ticked the box

6. Sharing of Information

We may share relevant information with:

  • Veterinary practices
  • Authorised microchip implanters
  • Local authorities and dog wardens
  • Police or other lawful enforcement bodies
  • Animal welfare organisations
  • Other UK microchip database operators, where needed to route a lookup

We also use service providers who process personal data on our instructions (processors). The main ones are:

  • Stripe — card payments and (for implanters) Connect payouts
  • Zoho Inventory (EU) — chip and product sales orders and stock
  • Xero — accounting records of paid orders
  • Mailgun — transactional email (receipts, password resets, keeper reminders)
  • DigitalOcean (London) — database and file storage
  • Vercel — hosting the public website

We do not currently send marketing email through a third-party platform. If that changes, we will name the provider here before using it.

We only share data where it is lawful, necessary, and proportionate. We do not sell personal data.

7. Data Security

Microchip My Pet applies appropriate technical and organisational measures to protect personal data, including:

  • Secure hosting and encryption
  • Role-based access controls
  • Audit logging and monitoring of registry and lookup access
  • Regular system reviews

Access is limited to authorised personnel only.

8. Data Retention

We keep personal data only for as long as we need it for the purpose it was collected, including legal and regulatory duties.

  • Microchip registry records (keeper name, address, phone, email, and the linked animal and chip) — for as long as the chip is on this database, and after an animal is marked deceased, for audit and enforcement under UK microchipping law.
  • Account login details — while the account is active, then until the account is closed or superseded.
  • Payment and accounting records — normally six years, to meet UK tax and company-record duties.
  • Audit and chip-lookup logs — normally two years, unless a longer period is needed for an investigation or regulatory request.
  • Support and complaint correspondence — normally two years after the matter is closed.
  • Marketing email preference — until you withdraw consent or we stop sending marketing.

Records may be retained even where an animal is deceased, for audit and enforcement purposes.

9. Your Rights

Under UK data protection law, you have the right to:

  • Access your personal data (including a copy)
  • Request correction of inaccurate data
  • Request erasure, where the law allows it
  • Request restriction of processing in certain circumstances
  • Object to processing where we rely on legitimate interests
  • Receive a portable copy of data you provided to us
  • Withdraw marketing consent at any time
  • Lodge a complaint with the Information Commissioner's Office (ICO)

Erasure of microchip records: we usually cannot delete keeper particulars that we must hold under UK microchipping regulations (Regulation 6 particulars linked to a registered chip). We can still correct inaccurate details, close a login account where appropriate, and stop optional processing such as marketing. If we refuse erasure, we will explain why.

If you have a Microchip My Pet account, you can correct your contact details and download a copy of your data from Account settings. You can also email a request using the contact details in Section 2. Please put Data protection request in the subject line and tell us whether you want access, correction, erasure, restriction, or an objection.

We will respond within one month of receiving a valid request. We may ask you to prove your identity before we release or change data, so we do not disclose another person's record. Complex or numerous requests can take up to a further two months; we will tell you if that applies.

10. Cookies and Website Analytics

We use a strictly necessary session cookie so you can stay signed in. We do not currently use analytics, advertising, or other optional cookies, so we do not show a cookie consent banner.

11. Third-Party Links

Our website may include links to external websites. Microchip My Pet is not responsible for the privacy practices of third-party sites.

12. International Data Transfers

Our database and file storage are hosted in the United Kingdom (DigitalOcean London). Some processors are outside the UK:

  • Vercel hosts the website and may process request data in the US and other regions
  • Stripe may process payment data in the US and other countries where it operates
  • Zoho Inventory is used on the EU datacentre for this product
  • Xero and Mailgun may process data outside the UK in line with their own terms

Where a transfer is not covered by UK adequacy regulations, we rely on the supplier's appropriate safeguards (typically the UK International Data Transfer Agreement or UK Addendum to the EU Standard Contractual Clauses).

13. Changes to This Policy

We may update this Privacy Policy from time to time. The latest version will always be available on our website with the updated date.

14. Contact and Complaints

For privacy questions or a data-protection request, contact us using the details in Section 2. We do not currently appoint a statutory Data Protection Officer; privacy requests are handled by our support team.

You also have the right to complain to the Information Commissioner's Office (ICO) if you believe your data has been misused. The ICO is at ico.org.uk.
